The challenge
A rapidly expanding UK dental chain faced significant challenges in managing their growing volume of documents across their 90 locations, in a uniform manner. The inconsistent storage and management practices at each branch made it difficult to access and retrieve patient records efficiently. The chain needed a standardised, centralised solution to streamline their document management operations.
The solution
To address these challenges, the dental chain partnered with Shredall SDS Group to implement a comprehensive solution that focused on document storage and indexing. Shredall SDS Group went into each branch and packed all of their files into 14,000+ boxes, barcoding, and tracking everything efficiently throughout the process.
Their boxes were then transported to our secure storage facility via a locked and tracked vehicle, where they were placed into an incoming hold ready to be indexed. All files that contained sensitive details such as names and date of birth were uploaded onto the Shredall SDS Group document management software, where the dentist chain could easily retrieve the files, as well as book more documents in for scan-on-demand and additional collections.
The result
The implementation of the storage and indexing solution resulted in significant improvements for the dental chain. The new system streamlined operations, helping them save time and money. By opting for a digitisation solution for their patient records, Shredall SDS group were also able to help them reduce the impact of their carbon footprint. Additionally, the scan-on-demand service provided greater flexibility and accessibility, allowing staff to quickly retrieve and work with patient records.
